Reporting Relationship
The Family Resources Office Administration will report to the Family Resources Department Manager
Position Summary
This position is assigned to serve a broad range of administrative and financial support services. According to M’Chigeeng First Nation policies and procedures, the incumbent is expected to be effective and efficient in the organization of work flow.
Essential Functions
- Performs a variety of general office support duties such as drafting, typing and proofreading a broad range of documents
- Standardize file management procedures and maintain central filing systems
- Develop file management procedures manual for efficiency and effectiveness for the retrieval of stored documents
- Assist in the organization of department activities and events
- Comply and adhere to the MFN Finance Policy, Personnel Policy and related department policies
- Work as part of a team with achieving the goals and objectives of the MFN Band Council
- Carry out other related duties as assigned from time to time
Administration
- Provide assistance with compiling documents for Committee meetings
- Ensure details and tasks for setting up meetings are attended to, including assembling meeting packages
- Record department committee meeting minutes using the standardized format and procedures established by the Administrative and Clerical Support Team
- Maintain a system for recording committee recommendations/motions and a cross reference system of these motions ratified by Band Council; and, ensure the communication of this information
Qualifications and Requirements
Preferred
- Post Secondary Diploma in secretarial services
- Ontario Secondary School diploma
- Three (3) years related work experience and/or volunteer experience
- Previous work experience working within First Nation organizations is a strong asset
Minimum
Post Secondary Diploma in a related field of study; a combination of three (3) years related training/work experience
Must have working knowledge office procedures, file management and policy development
Ability to maintain a high degree of confidentiality
Other
Experience recording formal meeting minutes
Excellent organizational skills with ability to prioritize
Understanding and fluency of Ojibwe is an asset
Knowledge of Anishinaabe culture, traditions, customs and practices
Must have or be willing to obtain Standard First Aid and CPR Certification
CRC/VSS Rationale: M’Chigeeng First Nation and its agents are in a position of trust in services to band member children and/or vulnerable adults, so a safe and secure working environment is mandatory. Applicants must provide a clear VSS Certificate and the VSS must have a record clear and/or dated of any convictions relating to alcohol, drugs, assault, violence and theft. The VSS must be current (30 days) and must be an Original.
