Reporting Relationship:

The Buildings & Grounds Supervisor will report to the Capital Projects/Public works Manager.

Position Summary:

The Buildings and Grounds Supervisor will be responsible for the operation, maintenance and leadership within all MFN buildings, including parks, recreation and grounds maintenance. The Buildings and Grounds Supervisor will be the key person and contact for Health Center, Administration Building, Public Works Building, Arena/Complex, School, Daycare, Wellness Center, Youth Center, Firehall and storage facilities.  They are also responsible for smooth transitions, community interactions, and supervision of the ground’s maintenance staff and custodial staff, including seasonal, casual labourers and summer students. They will also ensure hazards, emergencies and maintenance issues are resolved, documented with proper follow up, as per the established policies and procedures.  This position leads the team in executing their tasks and will collaborate with the Building Coordinators to develop staff. This position may be required to assume a leading role in instances where multiple events are simultaneously occurring in the community.  This job is scheduled for non-standard work hours which are evenings and can include weekends.

Essential Functions

  • With direction from the Department Managers, Facilities and Events, and Building Coordinators, this position ensures facilities are properly utilized as per facility plans and within the health and safety guidelines.
  • With direction from the Building and Grounds supervisors, this position will approve scheduled set-up and tear down requirements.
  • Responsible for providing safe and clean environments for all buildings; Conducts facility walk-throughs to ensure safety and cleanliness of facilities and equipment.
  • Provides overall coordination of facility maintenance, including planning and developing preventative maintenance. Oversee and perform, as necessary, all maintenance and repair activities.
  • Ensures the proper operation and maintenance schedules of all mechanical/electrical systems.
  • Ensures the completion of repair work and projects in a timely manner. Oversees all contractors that work in the facility and grounds. Request and review bids. Hire and supervise sub-contractors, when required in conjunction with the Operations Manager
  • Oversees and coordinates snow removal, sidewalk safety and lawn grooming of the buildings.
  • Implements preventative maintenance programs and schedules ensuring maintenance and upkeep of grounds and custodial equipment are maintained as per continually improving best practices.
  • Prepares and submits progress reports when required.

Financial Management

  • Prepare annual financial budget and work plan related to the building and maintenance programs in conjunction with the Operations Manager.
  • Provide progress, quarterly/annual and other reports for all program funding sources as required.
  • Assist in the preparation of funding proposals as required and directed by Operations Manager.

Health and Safety

  • Works with Building Coordinators to train staff on relevant health and safety standards and procedures, including the safe operations of the ice resurfacing machine, fuel usage and storage, physical guards and PPE.
  • Will take lead on executing Emergency Action Plans (EAP) in the absence of a Manager, including when the building is utilized in ‘day-to-day’ or ‘large events.
  • Attends to all serious incidents, executes EAP, and follows-up according to established procedures

Qualifications and Requirements

  • Post-secondary education in engineering and technology related discipline with a minimum of 3 years’ experience in facility management including management of building systems: HVAC, domestic water system, fire safety systems, electrical distribution system, and backup generators.
  • Ontario Driver’s License Class G or higher required.
  • Computer proficiency, particularly Word, Outlook, Excel and PowerPoint, as well as general scheduling software.
  • Ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Experience with Asset Management/Maintenance Management programs & software would be an asset.

Other Skills

  • Ability to ensure confidentiality in all matters, while exercising tact and diplomacy.
  • Must have excellent time management skills and ability to multitask and prioritize to meet deadlines.
  • Must have knowledge and understanding of Anishinaabe culture, traditions, and customs.
  • Understanding and fluency of the Ojibwe language is an asset.
  • Clear driver’s Abstract will be required upon hire.

Upon hire, a VSS is required, and must be thirty (30) days current, original or certified copy.
